Job summary 

Reports to Head of Programme – PROUD-Z Administration. To provide administrative coordination of the program, coordinate program implementation, monitoring program work plan and budget in a timely manner and reporting

Main duties
  • Works with the Head of Programme/ Project Managers and Provincial Coordinators in planning and implementation across PROUD-Z projects
  • Supports development, managing and monitoring of project workplans and related sub-awards with provincial partners
  • Provides logistical support on program implementation to the Head of Administration/ Project Managers & Provincial Coordinators
  • Provides administrative support for meeting coordination and minute taking/QC minutes.  
  • Supervises admin staff, orientation and provide mentorship.
  • Supports district offices in creating SOP for requesting and retiring of activity funds
  • Ensures  monitoring and  implementation of activities are done according to the workplan.
  • Ensures strict client confidentiality and privacy at all times.
  • Supports development, managing and monitoring of program work plans and related sub-awards with district partners
  • Consolidates work plans and ensure that this is shared across the program and posted on share point
  • Carries out monthly analysis on actual activity implementation against programme work plan
  • Consolidates Program budget tracking sheets for all sub-projects 
  • Works with program accountant to compare ERP systems and expense logs on a monthly basis
  • Works in close liaison with the Grants & Contracts Office to match budget implementation and NOAs awarded over the implementation period.
  • In conjunction with Procurement department create/maintain appropriate inventory tracking mechanisms and ensure appropriate materials are available (includes forecasting requirements)
  • Ensure appropriate and efficient requisition procedures are in place for program inventory.
  • Tracking and Monthly reporting on status of program procurements
  • In conjunction with warehouse management create/ maintain stock distribution plan
  • Coordinates the distribution of all stock to program supported districts and sites on monthly and quarterly basis
  • Prepares monthly and quarterly B2A reports
  • Prepares Training reports and  activity reports (planned vs implementation)
  • Works with Finance in preparing the Expenditure Analysis Report (Annual CDC requirement).
Qualifications
  • Relevant University Degree
  • At least 3 years relevant work experience.
  • Management, budget and report-writing experience.
  • Strong command of English language (verbal and written).
  • Demonstrated proficiency in MS Office programmes, including advanced skills in Word, Excel and power point
  • Must be highly organized, independent thinker and detail oriented
  • Excellent interpersonal skills, communication skills, flexible attitude and enthusiastic
  • Experience coordinating or assisting coordinate a research study or project.
